Setting Up Bookabus Integration in TEQ

The Bookabus.com integration allows TEQ to automatically share vehicle availability and receive customer orders directly from Bookabus. Once configured, the platforms work together seamlessly to reduce manual work and ensure accurate scheduling.

Step 1: Configure Bookabus Integration in TEQ

  1. Go to Settings β†’ Company Settings β†’ Bookabus Integration.
  2. Fill in the four required fields:
  • 🌐 Bookabus API URL
    Contact Ferdia Support to receive the correct URL.
  • πŸ”‘ Bookabus API Key
    Provided by Ferdia Support.
  • πŸ”’ Bookabus API Secret
    Provided by Ferdia Support.
  • 🏒 Company Organization Number
    Must match exactly as registered in Bookabus.com.

Step 2: Set the External Id for Bookabus Integration

To get the integration working, you must also configure the External Id in the Bookabus.com admin interface.

  1. In TEQ, open any screen, for example  Sales β†’ Customers.
  2. In the address bar, the External Id will be the first part of the URL (highlighted in green, most often your company name).
  3. Enter this External Id into the Bookabus.com admin interface.

Step 3: Set the Customer ID for Incoming Bookabus Orders

All orders received from Bookabus.com will be linked to one TEQ customer.

  1. Go to Sales β†’ Customers.
  2. Open the Customer Card of the customer you want to use.
  3. Locate the Customer ID in the address bar
    (highlighted with a red dotted box in the screenshot).
  4. Enter this Customer ID into the Bookabus.com admin interface.

πŸ’‘ Tip: Create a dedicated customer in TEQ named β€œBookabus” to keep bookings organized.

Step 4: Configure Vehicle Availability for Bookabus

To share vehicle availability automatically:

  1. Go to Planning β†’ Vehicles.
  2. Select the vehicle you want to make available.
  3. Click Edit.
  4. Open the Bookabus.com tab.
  5. Set Available in Bookabus.com β†’ Active.

⚠️ Important: The vehicle must have the exact same license plate in both TEQ and Bookabus.com. If the license plates do not match perfectly, availability will not sync.

πŸ›  Troubleshooting

Integration not activating

  • Verify the API URL, Key, and Secret are entered correctly.
  • Check for missing spaces or formatting errors when pasting credentials.
  • Ensure your user role has permission to modify Company Settings.

Orders not importing into TEQ

  • Confirm the correct Customer ID is entered in Bookabus.com.
  • Make sure the customer exists and is active in TEQ.
  • Check whether the integration toggle is still active in TEQ.

Vehicles not appearing on Bookabus.com

  • Check that the vehicle is set to Active under the Bookabus.com tab.
  • Verify that license plates match exactly between TEQ and Bookabus.com.
  • Ensure the vehicle is not archived or inactive in TEQ.

Changes not syncing

  • Refresh the page in both systems.
  • Confirm network connectivity.
  • Retry after a few minutes. Bookabus may update availability on intervals.
