Tripletex Integration — Setup and User Guide
This article applies to TEQ customers who invoice through Tripletex. If your company uses a different accounting system, this article does not apply to you.
❌ Do not follow this guide if your company uses Visma eAccounting or any other accounting system. The VAT code structure and configuration requirements are different for each system.
What this integration does
When TEQ produces a customer invoice, it automatically creates that invoice and any credit notes in Tripletex. TEQ finds the customer in Tripletex or creates them automatically, builds the order lines from trip, toll, and additional item charges, and posts the invoice directly. No manual re-keying is required.
Before you start
Three things must be in place before the first invoice will go through.
Step 1: Create your Tripletex employee token
The employee token is self-service. You create it in Tripletex and enter it in TEQ yourself.
In Tripletex:
- Go to Lønn, then Ansatt, then API-tilgang (Payroll, Employee, API access).
- Choose Ny nøkkel, then Tilpasset oppsett, then Bestem selv (New key, Custom setup, Define your own).
- In the Application name field, paste Ferdia's application name: Ferdia_TEQ
- Give the key a name, for example Employee token.
- Click Lagre (Save), then copy the key shown and store it somewhere safe. Tripletex only displays it once.
Give the key at least the following permissions:
- Brukeradministrator (User administrator)
- Faktura (Invoice)
- Kunde/leverandør (Customer/supplier)
In TEQ:
- Go to Settings in the sidebar and open Integrations.
⚙️ The Integrations section is only visible if it has been enabled for your user role. If you cannot see it, go to Settings, open Admin, and click User Role. Find the user role you need to edit, open the Features tab, locate Integrations, and mark it as enabled. If you do not have access to Admin, contact your TEQ administrator.
- Enter the employee token in the Employee Token field.
- Go to Settings, open Company, and click Billing Profile. Select Tripletex and set the Tripletex API user-key to the employee token you saved in Tripletex.
The integration requires two tokens to function: the Employee Token you have just entered, and a Consumer Token. The consumer token is configured by Ferdia and is not visible to users in TEQ. You do not need to do anything to set it up. Contact TEQ Support if you believe it is missing or needs to be changed. The integration screen shows the connection status once both tokens are in place.
Step 2: Check Tripletex company settings
Your company in Tripletex must have both of the following before any invoice can be posted:
- A valid 9-digit Norwegian organisation number
- A registered bank account number
⚠️ Warning: If either the organisation number or bank account is missing in Tripletex, every invoice push will fail with a validation error. Fill both in under Company settings in Tripletex for each company that will receive invoices.
Step 3: Map VAT codes
This is the most common cause of setup errors. Each TEQ VAT code must be mapped to the correct Tripletex VAT number. If the mapping is wrong, the invoice line is booked at the wrong VAT rate. If a code cannot be resolved at all, the invoice will not post.
VAT codes in TEQ are managed under Settings and Products and VAT. For each VAT code, set the accounting integration VAT code field to the correct Tripletex VAT number from the table below.
VAT rate | Tripletex VAT number |
|---|---|
25% | 3 |
15% | 31 |
12% | 33 |
6% | RED-13 |
0% or exempt | 5 |
💡 Example: a TEQ VAT code representing 15% must have its accounting integration VAT code set to 31, not 3. Setting it to 3 will book the line at 25%.
⚠️ Warning: Tripletex also requires a sales account in the chart of accounts for each VAT rate you use. If a rate has no sales account, any invoice line using that rate will be rejected. Set up a sales account for every VAT rate you use in Tripletex, including 6% which is commonly missed.
Step 4: Check customer records
TEQ creates the customer in Tripletex automatically if they do not already exist, matched by email address and organisation number. You do not need to pre-create customers in Tripletex.
For each customer in TEQ, confirm the following fields are filled in before invoicing:
- Name
- Email and invoice email
- Postal address, postal code, and city
- Organisation number for business customers
⚠️ Warning: Customer matching in Tripletex is done by email address and organisation number. If either differs between TEQ and Tripletex, a duplicate customer will be created in Tripletex. Keep email addresses and organisation numbers consistent.
Step 5: Understand how discounts work
Tripletex only supports percentage discounts on order lines. There is no fixed amount discount field.
If a charge in TEQ has a flat discount in kroner, TEQ converts it to a percentage before sending to Tripletex. This applies to trip, toll, and additional item lines.
💡 The flat to percentage conversion can result in small rounding differences of one øre on a line total. This is a known limitation of flat discounts in Tripletex, not a bug. Use percentage discounts where the amount must be exact.
Step 6: Understand how credit notes work
Credit notes sync to Tripletex as a new invoice with negative amounts. They do not appear as a linked credit note in Tripletex.
This is because Tripletex's native credit note function can only credit an entire original invoice. Since TEQ credits can be partial, TEQ sends the credit as a separate negative invoice instead. The credit is financially correct but appears as an unlinked negative invoice in Tripletex.
💡 This is expected behaviour. No action is required when a credit note appears as a separate negative invoice in Tripletex.
How a TEQ invoice maps to Tripletex
Tripletex field | Source in TEQ |
|---|---|
Customer | TEQ customer record, found or created in Tripletex |
Invoice number | TEQ invoice number |
Invoice date | TEQ invoice creation date |
Invoice due date | TEQ due date |
KID | TEQ invoice KID, sent only when the invoice uses KID |
Order line description | Trip, toll, or item description plus ID and route |
Unit price | Net price excluding VAT |
Quantity | 1 per trip or toll line. Negative on credit notes |
Discount | Percentage, converted from flat if needed |
VAT | From the TEQ VAT code mapped to the Tripletex VAT number |
Go-live checklist
Before going live, confirm all of the following:
- Integrations enabled on the relevant user role under Settings, Admin, and User Role
- Employee token created in Tripletex with Brukeradministrator, Faktura, and Kunde/leverandør permissions
- Employee token entered under Settings and Integrations, and set as the Tripletex API user-key under Settings, Company, and Billing Profile
- Consumer token confirmed as set by Ferdia and connection status showing as connected
- Company in Tripletex has a valid 9-digit organisation number and a registered bank account
- Every TEQ VAT code mapped to the correct Tripletex VAT number under Settings and Products and VAT
- A sales account exists in Tripletex for every VAT rate in use, including 6%
- All customers have address, postal code, and city filled in. Business customers have an organisation number
- One test invoice and one test credit note sent to Tripletex and verified for correct total, VAT rate, and discount
Troubleshooting
🔍 Check this first: If every invoice is failing, confirm your company in Tripletex has both a valid organisation number and a registered bank account. This is the most common cause of integration failures.
Every invoice fails with an organisation number or bank account error
- Add the organisation number and bank account under Company settings in Tripletex.
Invoice line is booked at the wrong VAT rate
- Check the accounting integration VAT code field on the relevant TEQ VAT code under Settings and Products and VAT.
- Confirm it matches the correct Tripletex VAT number from the table in Step 3.
Invoice rejected with a VAT account error
- A sales account for that VAT rate does not exist in Tripletex.
- Set up a sales account for that rate in the Tripletex chart of accounts.
Invoice did not post or shows an invalid VAT code error
- A VAT code could not be resolved. Check the VAT code mapping for the items on that invoice under Settings and Products and VAT.
Credit note appears as a separate negative invoice in Tripletex
- This is expected behaviour. Tripletex cannot link partial credits to the original invoice. The credit is financially correct.
Line total is off by one øre on a flat discount
- This is a known rounding limitation when TEQ converts a flat discount to a percentage for Tripletex. Use percentage discounts where the amount must be exact.
Customer has been created twice in Tripletex
- The email address or organisation number differed between the TEQ and Tripletex records.
- Keep email addresses and organisation numbers consistent in TEQ.
Customer creation failed due to missing address
- Fill in the customer's address, postal code, and city in TEQ before invoicing.
Integration connection has dropped
- Re-enter your employee token under Settings and Integrations.
- Confirm the employee token is also set under Settings, Company, and Billing Profile.
- If this does not restore the connection, the consumer token may need to be reset. The consumer token is not visible in TEQ. Contact TEQ Support to have it checked or reset.
- If you cannot see Integrations under Settings, go to Settings, open Admin, click User Role, find the relevant user role, open the Features tab, and mark Integrations as enabled.
